Rules before you send anything

  • Subject line under 6 words. Anything longer gets cut on mobile.
  • One question per email. The brain answers one question; it ignores three.
  • Never start with "Just checking in." It's the email equivalent of "u up?" — and it converts about as well.
  • Always end with a date. "Let me know" is vague. "Free Tuesday at 4?" is a meeting.

Stage 1: Brand-new lead (replies within 5 min, not 5 hours)

Template 1 — New Zillow / portal inquiry

Subject: [Address] — quick question

Hi [First Name],
Saw your inquiry on [Address]. Quick one before I dig in — are you actively touring this month, or earlier-stage and just watching the market?
Either is great. Just want to send the right info.

Template 2 — New referral lead

Subject: [Referrer's first name] mentioned you

Hi [First Name],
[Referrer] said you're starting to look in [Area]. They have great taste in agents so I won't waste it 🙂
What's the timeline you're working with — 30 days, 6 months, just exploring? I'll tailor what I send.

Stage 2: The 48-hour bump

Template 3 — No reply to first email

Subject: Re: [Address]

Hi [First Name] — bumping this in case it got buried. Totally fine if you're not ready yet; just want to make sure you have my info when you are. The [Neighborhood] market has shifted a bit this month — happy to send a 2-minute breakdown if useful.

Stage 3: The ghosted lead (your highest ROI email)

Template 4 — 2-week silence breaker

Subject: Should I close your file?

Hi [First Name],
Haven't heard back, so I want to be respectful of your inbox. Three quick options — just reply with the number:
1. Still looking, just not now → I'll quietly send 1 update/month.
2. Found a place / paused the search → I'll close your file. Congrats either way.
3. Ready to talk → I'll send my calendar.

This "1, 2, 3" email regularly outperforms every other follow-up. Use it.

Stage 4: Post-showing follow-up

Template 5 — Same day as the showing

Great seeing you at [Address] today. Before the impression fades — what was the one thing you loved, and the one thing that gave you pause?
I'll line up 2 more options based on your answer.

Template 6 — 48 hours after the showing, no reply

Stage 5: Past client / sphere

Template 7 — 6-month check-in

Subject: Your home value, [First Name]

Hi [First Name],
Hard to believe it's been 6 months in [Address]. Quick FYI — [Neighborhood] is up roughly [X]% since you closed. I put together a 1-page snapshot of your current value if you want it. Just reply YES and I'll send.

Template 8 — Anniversary / "homeversary"

Subject: 1 year ago today

Hi [First Name],
One year ago today you got the keys to [Street]. Hope it's still feeling like home. If you ever want a coffee, a referral, or a casual "what's my house worth now?" check, you know where to find me.

Stage 6: Sphere reactivation

Template 9 — Quarterly to your full database

Subject: Who do you know in [City]?

Hi [First Name],
Quick one — I'm taking on 3 new clients this quarter. If anyone in your life is thinking about moving in the next 6 months (buying, selling, or just curious about value), would you mind passing my name? A short text from you is worth a hundred ads from me.

How often should you actually be sending these?

  • Brand-new lead: Reply in 5 min, then day 2, day 4, day 7.
  • Ghosted (no reply 14d): The "1, 2, 3" email — once.
  • Long-term nurture: 1 useful email/month.
